Site Reconciliations

If you wish to reconcile by site then you need to be aware that it will require good controls and diligence in ensuring that the correct sites have been applied when reconciling.  Hire companies do not use Sites so when a movement is imported from them the import to PalletWatch will depend on users checking that the correct site is used.  If the movement has been entered by your users then the Site is likely to be correct as most data entry users are restricted to one site.  If the docket has not been entered then PalletWatch will rely on default sites set up by your pallet controller.

To reconcile by site you need to ensure that the following are in place:
  1. Site Opening Balance - this information needs to provided to support@palletwatch.com.au and we will set it for you.  The opening balance may be set so that a site has a 0 variance.
  2. The invoice needs to be fully reconciled.  The reason for this is that transactions in the Reconcile screen may not have the correct site as CHEP and Loscam have no visibility of sites.  You can set default sites for your trading partners by going to Data\Trading Partners and then select values from the Default Site fields.
There are a number of reasons why the sites listed against dockets in Reconcile may be incorrect.  Your account would normally have a default site against which dockets are assigned if no default site has been set.  Some of the reasons you may see unreconciled transactions assigned to the default site when it should not be.  These are:
  1. A default site has not been set.
  2. A default site has been set incorrectly.
  3. A default site cannot be set.  This is where a trading partner may deal with a number of your sites, e.g. trading partners with national accounts and the pallet hire companies.
It may be that you wish to reset your site balances.  Some sites will show erroneous losses or gains so you may move these to another site - this could be another operating site or it could be an "Admin" site specifically set up to move losses or gains from your operating sites.  If you wish to have "Admin" sites then raise a support ticket or email support@palletwatch.com.au.

Resetting site balances is not a small task so it should be done infrequently.  If it needs to be done on a more frequent basis that it would indicate that reconciling imports are not being done as thoroughly as they need to be.
