Pallet Transfer Authorities

Some companies do not accept pallet transfers provided by you, instead they give the driver one of their dockets as authority to transfer pallets on to their accounts. These dockets are called Pallet Transfer Authorities (PTA).

Companies who use PTAs are:

- Big W
- Campbells Cash & Carry

When you despatch pallets to these trading partners you should do the following:

Raise a Non Hire Move Off

  • Raise a Non Hire Move Off ensuring that you enter the trading partner’s purchase order number in the Reference 1 field.
  • Only enter one equipment type per Non Hire Move.
  • Give 2 copies to the driver and retain a copy. All three need to be signed by the driver picking up.
  • Ensure that the carrier knows to provide you with the PTA dockets as soon as possible.
  • It may be helpful to keep your outstanding Non Hire Moves in a tray and match them up to the PTA when it comes back.

The PTA Docket

  • Some carriers give you access to their online tracking system so that you can download these PTAs. Other carriers may post them back to you – if they do, take steps to ensure that whoever receives the mail knows what to do with these PTAs. They should go to the pallet controller.
  • You can run an Owed Equipment Report and the outstanding Non Hire Moves to the PTA trading partners will alert you to the number of missing PTAs.
  • When you get the PTA you should search for the corresponding Non Hire Move Off docket.
  • The PTA docket should be entered as a Transfer Off and enter the Non Hire Move Off docket number in the Reconcile Notes.

Cancelling the Non Hire Move Off docket

When you have entered the PTA you should cancel or redeem the corresponding Non Hire Move Off docket. You do this by selecting Cancel from the dropdown list next to the docket number in Data\Dockets. You then click on the Select redeeming docket button and click Search. It will bring up possible matches with fields which match highlighted in green. The docket number will not match but when you find the non hire docket that matches then double click on the docket number at the bottom in the search results and it will redeem (cancel) the non hire docket. The non hire docket number will appear in the Reconcile Notes against the PTA.
